FeedbackLoop pays particular attention to the protection of the personal data of its users.
By joining our Community, you will share some of your personal information with us. For this reason, we want to make sure that you understand how we collect this information, who we share it with, as well as how you can check, modify and update this information.

A. Information You Choose To Provide To Us
If you decide to join the FeedbackLoop Community, you will need to provide us with some information such as name, surname, email address and your role within the company you belong to.
If you want, you can link a photo to your profile. In this case, and with your consent, we will only be able to access the photos you have selected in order to change the profile picture. In any case, you can stop sharing your photos and withdraw your consent at any time.
As you know, our application is designed to allow participants to grow their performance. We will therefore store your interactions, your moods and feedback sent and received for this purpose. This information we collect generates individual dashboards - private and protected - where only you will have the opportunity to observe what your impact is on others and receive suggestions on how to improve it.
Furthermore, through the interactions, moods and feedback given and received, we will create reports and indicators to summarize the methods of use of the App and the results of the interactions that have taken place so that you can be constantly updated on the progress of your activities and of the way in which they are received by the Community.
In order to improve the performance of the App, we may periodically send questionnaires to the email address provided during registration that you can fill out to help us analyze the various topics of interest of the App.
Through our application you can also exchange messages with other members of the Community. We will never have access to private conversations. Our task is limited to the technical aspects aimed at guaranteeing the correct functioning of the messaging tool and its security.
With your consent, we will be able to access your calendar to allow you to record your moods during the most important events.
Other information we collect is obviously what you choose to give us when you contact customer support or otherwise communicate with us.
*** Keep in mind that the feedback you decide to provide will be visible to the colleague for whom the feedback was expressed and only to him. The feedback you provide will not be associated with you, unless you decide to "show yourself".
Remember: it is necessary to adopt a correct and diligent behavior and, above all, aimed at a constructive comparison with the members of the Community. The goal of our App is to "team up" within the company, to be proactive and to make suggestions for constant professional growth.
B. Information visible to the whole Community .
Username and profile picture
What would be the point of being part of a Community to stay hidden? Otherwise how would your colleagues be able to thank you for the good suggestions you gave them during the day or to suggest aspects for your professional development? For this reason your name and the profile picture that you eventually choose will be visible to all members.
Badges and Kudos
We like to think that being part of a Community should be fun and for this reason we have imagined our App as a game. The more interactions you have, the more active you will be, the more your "role" within the Community itself will grow. With each progress in interactions, you will then be awarded a Badge that all members will be aware of.
In the same way, we believe that every good deed generates another, that every positive thought spurs you to have others. For this reason we thought that, for professional growth, it is important that all members of the Community can view the Kudos, or rather the "positive public acknowledgments for their actions".
The Kudos you will receive and send will be visible to all but no one will know who sent them
C. Information We Automatically Collect When You Use Our Services
Device and Usage Information - We collect information about the device you install our services on or access them through, based on the permissions you have provided. We may combine the information we collect from your different devices in order to provide consistent services on the different devices used. Here are some examples of information about the devices we collect:
▪ your IP address
▪ the date and time of access to our service
▪ the hardware, software or browser you use and information about your computer's operating system and application version
▪ your language settings
If you are using a mobile device, we collect data that identifies your device, your phone's settings and characteristics.
The information we collect is used for the following purposes:
a. Obtain statistical information on the use of the App, to check its correct functioning and make improvements.
b. Determine any liability in the event of computer crimes and / or incorrect and illegal use of the App.
c. Perform statistical analysis and classifications by processing aggregated data, previously anonymized so that they are in no way attributable to the person.
d. Monitor performance and areas for improvement
The legal basis of the processing for these purposes is represented by the protection of a legitimate interest of the Data Controller, by the fulfillment of legal obligations as well as for the execution of the contract with reference to the use of the App, guaranteeing the interested party a better browsing experience.
e. Allow you to participate in the Community through the features of the App and the related services offered (generate content, provide feedback, store participation in activities, send messages)
f. Show the user statistical analyzes on their behavior, moods and interactions with other members of the Community through the exchange of feedback.
g. Provide feedback to the User's requests.
The legal basis of the processing is the execution of pre-contractual and contractual measures to respond to the content of the interested party's requests. There is no obligation to provide the personal data requested. The provision of data is, in fact, optional. However, the refusal to provide the requested data will make it impossible to use the App.
No marketing activities will be carried out.
User data will be processed lawfully and correctly, adopting appropriate security measures to prevent unauthorized access authorized, disclosure, modification or unauthorized destruction of data. The processing is carried out using IT and / or telematic tools, with organizational methods and with logic strictly related to the purposes indicated. In addition to the owner, in some cases, categories of authorized persons involved in the organization and management of the service provided by FeedbackLoop (administrative staff, system administrators, etc.) may have access to the data.
As you know, some information about you is public within the Community. In particular, your identification and contact data will be visible, your job role, your photo as well as the feedback you decide to make visible to the interested parties.
For the purposes also indicated, the personal data may be communicated to the employees and collaborators of the Data Controller in their capacity as persons authorized to process the processing for the performance of the necessary activities and with a guarantee of protection of the rights of the interested party as well as to professionals or service companies who carry out outsourced activities on behalf of the Data Controller, in their capacity as Data Processors (by way of example, credit institutions, professional firms, consultants, etc.)
Finally , the data may be disclosed to all those public and private subjects whose right to access the data is recognized by law or by orders of the authorities.
More information on the subjects to whom the data may be communicated will be provided to the interested subjects in the exercise of their rights pursuant to Article 15 of the Regulation.
The result of the statistical analyzes carried out on aggregated and anonymous data may be shared with the Controller's business partners but no personal data of the interested party will ever be communicated to these subjects.
FeedbackLoop stores data as long as this is necessary to provide its services or until the account is deleted.
Data retention time varies based on things such as : nature of the data, reason for which they are collected and processed and related legal requirements.
In any case, the criterion used to determine the retention period is based on compliance with terms permitted by applicable laws and the principles of minimization of processing and rational management of archives.
When you delete your account, we delete all data concerning you including public information and you will no longer be able to retrieve such information.
We will only keep the information required to comply with legal obligations and for a period not exceeding that necessary for compliance.
The interested party, pursuant to articles 15-22 REG UE 679/16, has the right to:
▪ access your data and receive a copy;
▪ obtain the rectification of personal data concerning you, obtaining their integration where incomplete;
▪ obtain the cancellation of your personal data;
▪ obtain the limitation of processing when certain conditions are met;
▪ receive your data or have it transferred to another owner, in a structured format, commonly used and readable if technically feasible;
▪ oppose the processing of your data for reasons connected to your particular situation;
▪ not be subjected to a fully automated decision-making process unless mandatory
The user can also contact us if he believes that Feedback Loop has no right to use certain information or if there are doubts about the way in which your data is managed or about this Notice.
Requests must be sent in writing to the Owner at the addresses indicated in paragraph no. 1 of this Notice.
In any case, the interested party always has the right to lodge a complaint with the competent Supervisory Authority (Guarantor for the protection of personal data), to pursuant to art. 77 of the Regulation, if you believe that the processing of your data is contrary to the legislation in force.
FeedbackLoop does not transfer personal data to third countries or to international organizations. However, it reserves the right to use cloud services. In this case, the service providers will be selected from those who provide adequate guarantees, as required by art. 46 GDPR.
The Data Controller therefore invites its users to regularly visit this section in order to be always updated on the data collected and on the use made of it by the Data Controller.
